Why this role exists.

The Replacement Patient Coordinator gives patients one reliable contact inside a highly specialized system. The role organizes the practical work of care while recognizing when a question belongs with a nurse, clinician, financial counselor or privacy-trained records specialist.

Clear scheduling and dependable follow-through reduce avoidable uncertainty. The coordinator helps patients arrive at each conversation with the right expectations, records and contacts while keeping responsibilities visible across teams.

What you will do.

  • Coordinate new-patient inquiries, established-patient scheduling and general pathway routing.
  • Organize record-transfer requests, appointment sequences and center-specific preparation communication.
  • Maintain accurate contact notes, open tasks and handoffs in approved patient-services systems.
  • Connect patients with clinical, financial, travel, portal or records teams according to the question presented.
  • Identify delays or communication gaps and follow them through to a documented resolution or escalation.

How you will work.

No AREOLA role operates alone. This position maintains close working relationships with:

  • Clinical Access for pathway and physician routing
  • Nursing teams for clinical questions and preparation guidance
  • Private Client Services and Traveling Patient Program
  • Medical Records, MyAREOLA Support and center scheduling teams

What you bring.

Required experience

  • Two or more years of healthcare scheduling, patient navigation, specialty access or comparable service experience.
  • Excellent written and verbal communication with careful attention to privacy and role boundaries.
  • Ability to manage several active timelines without losing the patient’s immediate question.
  • Sound judgment about when to answer, route, document or escalate.

Helpful additional experience

  • Experience coordinating surgery, specialty consultation or traveling-patient services.
  • Familiarity with electronic health records, referral intake or secure record transfer.
  • Professional fluency in English and Spanish.

Your first year.

First 90 days

Learn AREOLA pathways, centers, routing standards and patient-communication systems.

Six months

Manage an independent patient panel with reliable documentation and follow-through.

Twelve months

Improve one recurring access, preparation or handoff experience for the Miami center.
